This Privacy Policy explains how AERO AI Inc. (“AERO AI,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects personal information when you interact with our websites, products, software, advertisements, lead forms, events, and services.
1. Scope
This Policy applies to aeroai.io and its subdomains, SiEGA Web and SiEGA Desktop, AERO AI documentation and support experiences, online accounts, demonstrations, newsletters, events, surveys, social-media and advertising lead forms, and AERO AI geospatial, reality-capture, digital-twin, data, and professional services (collectively, the “Services”).
AERO AI is the controller of personal information used for its own website, account, marketing, sales, and business purposes. When AERO AI processes personal information contained in project data on behalf of a business customer, that customer generally determines the purposes and means of processing, and AERO AI acts as its service provider or processor. In that situation, the customer’s privacy notice and the applicable customer agreement may also apply.
This Policy does not apply to third-party websites, platforms, products, or services that have their own privacy notices. It also does not replace a separate written agreement, data-processing addendum, or project-specific notice. If a written agreement conflicts with this Policy regarding customer-controlled project data, the written agreement controls.
2. Information We Collect
Information you provide
- Contact and lead information. Name, business email address, telephone number, company, job title, LinkedIn profile information, city or region, industry, and communication preferences.
- Account and authentication information. Username, organization, role, account identifiers, authentication records, access permissions, and related account settings.
- Project and professional information. Project location, scope, asset type, workflow, technical requirements, requested deliverables, procurement information, budget or timing information, and other details you provide when requesting a demo, estimate, proposal, or service.
- Customer Content. Files, images, videos, drone or sensor data, geospatial coordinates, maps, point clouds, 3D Tiles, Gaussian splats, BIM or CAD files, models, annotations, measurements, comments, bookmarks, reports, and related metadata that you or your organization upload, create, transmit, or share through the Services.
- Communications and support information. Messages, form responses, call or meeting notes, support requests, feedback, survey responses, and records of our communications with you.
- Transaction information. Subscription, order, invoice, billing contact, payment status, and transaction history. Payment-card information is generally collected and processed by our payment service providers rather than stored in full by AERO AI.
- Application and event information. Information submitted for employment, contractor opportunities, programs, webinars, conferences, training, or other events.
Information collected automatically
- Device and network information. Internet Protocol address, browser type, operating system, device type, device or advertising identifiers, language, and general location inferred from an IP address.
- Usage and diagnostic information. Pages and features viewed, links selected, referring URL, dates and times of access, session duration, search activity, application events, performance data, crash logs, error reports, and security events.
- Cookies and similar technologies. Cookies, pixels, tags, local storage, software development kits, and similar technologies may collect information needed for authentication, preferences, analytics, performance, security, and advertising measurement.
- Geospatial and location information. The Services may process precise coordinates, camera position, flight or capture path, and related spatial metadata when that information is included in Customer Content or is necessary to provide a requested geospatial feature. We do not treat an asset or site location as personal information unless it identifies or is reasonably linkable to an individual.
Information from other sources
- Advertising and lead-generation platforms, including information you choose to submit through a LinkedIn or other social-media lead form.
- Customers, authorized users, collaborators, referral partners, event organizers, and members of your organization.
- Identity, authentication, integration, mapping, data-hosting, and payment providers when you connect or use their services with AERO AI.
- Publicly available business and professional sources, such as company websites, public procurement records, professional directories, and business-oriented social networks.
3. Why We Collect and Use Information
We may use personal information to:
- Provide, operate, maintain, configure, and improve the Services.
- Create and administer accounts, authenticate users, manage permissions, and support collaboration.
- Process Customer Content and generate the visualizations, analyses, exports, and other outputs you request.
- Respond to inquiries; understand project needs; schedule demonstrations; prepare estimates, proposals, and contracts; and manage customer relationships.
- Process subscriptions, orders, invoices, payments, and related business records.
- Send service announcements, product notices, security alerts, support messages, and other transactional communications.
- Send marketing communications about AERO AI products, services, research, events, and updates, subject to applicable consent and opt-out requirements.
- Measure website, product, and campaign performance; understand feature adoption; troubleshoot; and conduct research and analytics.
- Protect the Services, customers, users, assets, and the public; prevent fraud, misuse, unauthorized access, and security incidents; and enforce agreements.
- Comply with law, regulation, legal process, contractual duties, insurance requirements, and legitimate governmental requests.
- Evaluate or complete a financing, merger, acquisition, reorganization, sale of assets, or similar corporate transaction.
- Carry out another purpose disclosed when information is collected or with your consent.
Where applicable law requires a legal basis, we process information as needed to perform a contract or take requested pre-contract steps; for our legitimate interests in operating, securing, improving, and marketing our business; to comply with legal obligations; to protect vital interests; or with consent.
4. How Leads Will Be Contacted
If you submit a website form, request a demonstration or proposal, register for an event, download content, respond to an advertisement, or submit a lead form on LinkedIn or another platform, you are asking AERO AI to follow up about the request or topic identified in that form.
- Email. We may email you to acknowledge and respond to your request, ask follow-up questions, schedule a meeting, provide relevant materials, and send reasonable follow-up information about AERO AI offerings.
- Telephone. If you provide a phone number, an AERO AI representative may call you regarding your request, project, account, or business interest.
- Text messages. We will send marketing text messages only when the form or another interaction clearly requests the consent required by applicable law. Consent to marketing texts is not a condition of purchase. Message and data rates may apply, and opt-out instructions will be provided.
- Marketing preferences. Marketing emails will include an unsubscribe method. You may also ask us to stop marketing by emailing info@aeroai.io. Opting out of marketing does not stop necessary account, support, security, billing, or other transactional messages.
AERO AI may use personnel, affiliates, and contracted customer-relationship, email, scheduling, and communications providers to make these contacts on our behalf. We do not sell submitted lead details for money or give them to unrelated third parties so those parties can independently market their own products, unless you separately direct or consent to that disclosure.
When you submit information through LinkedIn or another third-party lead form, that platform separately processes information under its own privacy policy and settings.
5. AI-Enabled Features
Some Services may offer AI-enabled visualization, generation, classification, search, assistance, or analysis. When you choose to use an AI-enabled feature, the prompts, files, selected images, project context, and other inputs needed to provide that feature may be processed by AERO AI and contracted cloud or AI service providers. Outputs may be inaccurate and should be reviewed before use in professional, safety-critical, regulatory, or financial decisions.
Do not submit personal information, confidential information, export-controlled information, or sensitive data to an AI-enabled feature unless you are authorized to do so and the applicable customer agreement permits it. Additional product notices or agreements may describe feature-specific processing.
6. How We Disclose Information
We may disclose personal information to the following categories of recipients:
- Service providers and contractors. Cloud hosting, data storage, content delivery, authentication, cybersecurity, analytics, communications, customer-relationship management, support, payment, mapping, visualization, AI, and professional-service providers that process information for AERO AI.
- Affiliates. AERO AI entities and personnel under common ownership or control, including those supporting operations in the United States and Nigeria, subject to appropriate safeguards and access controls.
- Your organization and collaborators. Account administrators, team members, invited users, project participants, or anyone with access through sharing settings or a link you or your organization creates.
- Integrations and user-directed recipients. Third-party services, applications, or persons you ask us to connect with or send information to.
- Analytics and advertising partners. Providers that help measure use of the Services and campaigns or deliver and measure advertising, as described in Section 7.
- Professional advisers. Attorneys, accountants, auditors, insurers, banks, and other advisers subject to professional or contractual duties.
- Business-transaction participants. Actual or potential investors, lenders, purchasers, counterparties, and advisers in connection with due diligence, financing, merger, acquisition, restructuring, bankruptcy, or sale of all or part of our business or assets.
- Governmental, legal, and safety recipients. Courts, regulators, law enforcement, public authorities, or other parties when disclosure is required or reasonably necessary to comply with law; protect rights, property, safety, or security; investigate misuse; or enforce agreements.
- Other recipients with notice or consent. Other parties for a purpose disclosed when information is collected, at your direction, or with your consent.
7. Cookies, Analytics, and Advertising
AERO AI and its providers may use essential, functional, analytics, performance, and advertising technologies. Essential technologies support login, security, preferences, and core operation. Analytics and performance technologies help us understand traffic, feature use, errors, and campaign effectiveness. Advertising technologies may help measure conversions, limit repeated ads, or present relevant business advertising.
When enabled, third-party analytics and advertising providers may collect identifiers, device information, and online activity over time and across different websites or online services. Depending on the jurisdiction, certain advertising disclosures may be considered a “sale,” “sharing,” or processing for targeted advertising even when no money is exchanged.
We do not sell personal information for money. Where required, you may use available cookie controls, browser settings, or a legally recognized opt-out preference signal to limit non-essential technologies. You may also email info@aeroai.io with the subject “Privacy Request” to request an applicable opt-out. Blocking cookies may affect some Service functions.
Because there is not yet a uniform industry response to browser “Do Not Track” signals, the Services may not respond to those signals unless required by law. Where applicable law requires recognition of a supported opt-out preference signal, such as Global Privacy Control, we will treat that signal as an opt-out request for the browser or device from which it is sent.
8. Sale, Sharing, and Marketing Restrictions
AERO AI does not sell personal information for money. We do not disclose lead information to unrelated third parties for their independent direct marketing unless you direct us to do so or separately consent. We do not sell or share a person’s consent to receive text messages, and we do not knowingly sell or share personal information of individuals under 16 for cross-context behavioral advertising.
AERO AI may disclose information to service providers and contractors for the business purposes described in this Policy. Those providers are expected to process information only for contracted purposes and subject to appropriate confidentiality, security, and data-protection obligations.
9. Customer Content and Shared Projects
Your organization controls the Customer Content it submits and is responsible for ensuring that it has the rights, notices, permits, permissions, and lawful basis needed to collect and provide that content. Customer Content may include imagery or spatial data that incidentally depicts people, vehicles, buildings, or locations. Customers should minimize personal information and avoid uploading sensitive personal information unless it is necessary, authorized, and covered by an appropriate agreement.
Project administrators may control access, retention, export, collaboration, and sharing settings. If a user creates a public or broadly accessible share link, recipients of that link may view or redistribute the shared content. Use access controls appropriate to the sensitivity of the project.
10. Data Retention and Deletion
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including providing the Services, maintaining security and continuity, complying with law and contracts, resolving disputes, and enforcing agreements. The following are general retention guidelines unless a customer agreement, customer instruction, legal requirement, dispute, security need, or technical backup cycle requires a different period:
- Lead and sales records. Generally retained for up to 24 months after the last substantive interaction, or longer while an opportunity, proposal, partnership, or customer relationship remains active.
- Marketing records. Retained until you unsubscribe or we determine that the information is no longer useful. We may retain a minimal suppression record so we do not send marketing after an opt-out.
- Account, contract, billing, and transaction records. Retained while the account or relationship is active and generally for up to seven years afterward when needed for tax, accounting, audit, insurance, dispute, or legal purposes.
- Customer Content. Retained according to the applicable customer agreement, account settings, project needs, and customer instructions. Following a valid deletion, expiration, or termination request, content is removed or de-identified from active systems within a reasonable period. Residual copies may remain in backups until overwritten through ordinary backup cycles and will not be restored except for continuity, security, legal, or disaster-recovery needs.
- Usage, security, and diagnostic records. Generally retained for up to 24 months, with longer retention where needed to investigate an incident, prevent abuse, or comply with law.
- Employment and contractor applications. Generally retained for up to two years, unless a longer or shorter period is required by law or you consent to consideration for future opportunities.
You may request deletion as described in Section 12. We may deny or limit deletion where retaining information is permitted or required, including for security, fraud prevention, legal compliance, recordkeeping, the exercise or defense of legal claims, completion of a requested transaction, or preservation of a minimal opt-out record.
11. Information Security
AERO AI uses reasonable administrative, technical, and physical safeguards designed to protect personal information, including measures related to access control, authentication, encryption where appropriate, monitoring, backups, vendor management, and incident response. Access is limited to personnel and providers who need information for authorized purposes.
No system, transmission, or storage method is completely secure. You are responsible for protecting account credentials, using appropriate sharing settings, and promptly notifying us if you suspect unauthorized access. If a security incident affects personal information, we will provide notices as required by applicable law.
12. Your Privacy Rights and Choices
Depending on where you live and subject to applicable exceptions, you may have the right to request access to personal information; confirm whether we process it; correct inaccurate information; delete information; obtain a portable copy; withdraw consent; restrict or object to processing; opt out of sale, sharing, targeted advertising, or certain profiling; and appeal a decision on a privacy request. You may also have the right to lodge a complaint with a data-protection authority.
To exercise a right, email info@aeroai.io with the subject “Privacy Request.” State the right you wish to exercise, your jurisdiction, and enough information for us to locate the relevant records. We may verify your identity and authority before acting. An authorized agent may submit a request where permitted, but we may require proof of authorization and verification directly from the individual. We will respond within the time required by applicable law and will not discriminate against you for exercising a privacy right.
Nevada residents may use the same email address as the designated request channel to submit a verified request not to make a covered sale of covered information. AERO AI does not currently sell covered information for money. If we deny an appealable request, you may reply with the subject “Privacy Appeal” and explain why you believe the decision should be reconsidered.
If AERO AI processes Customer Content solely on behalf of your employer or another customer, we may direct your request to that organization because it controls the relevant information.
13. International Data Transfers
AERO AI is based in the United States and works with affiliates and providers in the United States, Nigeria, and other countries. Personal information may therefore be processed in countries whose data-protection laws differ from those in your location. Where required, we use contractual or other recognized safeguards for international transfers. By using the Services or submitting information, you understand that information may be processed in the United States and other countries in accordance with this Policy and applicable law.
14. Children’s Privacy
The Services are intended for business and professional use and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact info@aeroai.io so we can review and delete it as appropriate. Customers must not use the Services to collect children’s personal information without all required authority, notice, and consent.
15. Consumer Health and Other Sensitive Data
The Services are not designed to collect consumer health data or other highly sensitive personal information. Do not submit health information, government identification numbers, financial-account credentials, biometric identifiers, or similarly sensitive information unless it is necessary, legally authorized, and covered by an appropriate written agreement. AERO AI may limit or remove information that is not appropriate for the Services.
16. Changes to This Policy
We may update this Policy to reflect changes in the Services, technology, law, or our practices. We will post the revised Policy at this URL and update the “Last updated” date. If a change is material, we will provide additional notice when required, such as through the Services, by email, or through an account notification. The revised Policy becomes effective on the stated effective date.
